Niemand zerstört eine Integration mit Absicht. Sie verrottet von ganz allein.

Plattformen aktualisieren ihre APIs. Anzeichen, dass ein Audit überfällig ist

Wahrscheinlich versteckt sich bei dir ein Problem, wenn einer dieser Punkte zutrifft:

  • Warenkorbabbruch- oder Browse-Mails zeigen leere Produktblöcke, falsche Bilder oder “undefined”, wo ein Name stehen sollte.
  • Deine Kontaktanzahl und deine tatsächliche Kundenzahl sind auf eine Weise auseinandergedriftet, die du dir nicht erklären kannst.
  • Ein Segment, das eigentlich wachsen sollte (etwa “Kunden mit über 300 € Lifetime Value”), stagniert schon verdächtig lange.
  • Du hast vor Monaten ein Tool hinzugefügt und kannst dich nicht erinnern, jemals bestätigt zu haben, dass seine Daten überhaupt angekommen sind.

  • Quelle (Shopify, deine Bewertungs-App, dein Helpdesk, ein Google Sheet …)
  • Ziel (in der Regel dein E-Mail-/SMS-Tool)
  • Methode (native Integration, Zapier, Webhook, manueller Export)
  • Was übertragen wird (Bestellungen, Kontakte, Produktkatalog, Browse-Events, Bewertungs-Events …)
  • Zuletzt funktionierend bestätigt (sei ehrlich – “nie geprüft” ist eine gültige und vielsagende Antwort)

Schon diese Karte bringt Probleme ans Licht. Fast jeder Shop, für den ich das gemacht habe, findet mindestens einen Datenfluss, den niemand vollständig erklären konnte, und oft eine Zapier-Automation, die etwas dupliziert, das eine native Integration bereits erledigt. Schritt 2: Echte Datensätze von Anfang bis Ende verfolgen

Jetzt gleichst du die Karte mit der Realität ab. An Annahmen scheitern Audits; du musst echten Daten folgen.

Nimm dir eine Handvoll aktueller, echter Ereignisse und verfolge jedes einzelne komplett durch:

  1. Nimm 20 deiner jüngsten Bestellungen. Öffne dein E-Mail-Tool und bestätige, dass alle 20 vorhanden sind, dem richtigen Kontakt zugeordnet, mit der korrekten Summe, den richtigen Positionen und ausgefüllten Produktdetails.   • Aktualität. Ist der Produktkatalog in deinem E-Mail-Tool aktuell, oder listet er noch Artikel, die du im Frühjahr aus dem Sortiment genommen hast? Veraltete Kataloge sind der Grund, warum Empfehlungsblöcke ausverkaufte Produkte zeigen.
  • Konsistenz. Bedeuten dieselben Felder über alle Tools hinweg dasselbe? Wenn “Kunde seit” im einen System dem “erste E-Mail erfasst” im anderen entspricht, korrumpiert das still deine Segmente.
  • Format. E-Mail-Adressen mit versprengten Großbuchstaben oder Leerzeichen brechen das Matching und erzeugen Dubletten. Telefonnummern ohne Ländervorwahl brechen SMS.

Wie oft, und wie es zur Gewohnheit wird

Ein vollständiges Audit zweimal im Jahr passt für die meisten wachsenden Shops, dazu ein schnelles nach jeder großen Veränderung: einer Plattform-Migration, einem Theme-Umbau, einer neuen App, einem großen Plugin-Update. Das sind die Momente, in denen Integrationen kaputtgehen.

Die leichtgewichtige Gewohnheit, die den meisten Rott früh erwischt: Führe einmal im Monat die 20-Bestellungen-Prüfung aus Schritt 2 durch. Fünf Minuten. Nobody breaks an integration on purpose. It rots on its own.

Platforms update their APIs. None of these throw an obvious error. The store keeps taking orders, the email tool keeps sending, and a data flow that used to work just… stops, feeding your automations stale or empty data while everything looks fine on the surface.

That’s what makes this worth a scheduled check rather than a wait-for-something-to-break approach. By the time a broken integration is obvious, it’s usually been leaking for weeks.

Signs you’re overdue for an audit

You probably have a problem hiding if any of these ring true:

  • Abandoned-cart or browse emails show blank product blocks, wrong images, or “undefined” where a name should be.
  • Your contact count and your actual customer count have drifted apart in a way you can’t explain.
  • A segment that should be growing (say, “customers over €300 lifetime value”) has been flat for a suspiciously long time.
  • You added a tool months ago and can’t remember confirming its data ever showed up.
  • Revenue attributed to email dropped without a matching drop in sends — a sign flows are firing on incomplete data.

Any one of these is enough reason to spend an afternoon on the steps below.

Step 1: Build the map

You can’t audit what you can’t see. Start by listing every integration in one place — a spreadsheet is fine. One row per data flow, with these columns:

  • Source (Shopify, your reviews app, your helpdesk, a Google Sheet…)
  • Destination (your email/SMS tool, usually)
  • Method (native integration, Zapier, webhook, manual export)
  • What it carries (orders, contacts, product catalog, browse events, review events…)
  • Last confirmed working (be honest — “never checked” is a valid, telling answer)

This map alone surfaces problems. Almost every store I’ve done this for finds at least one flow nobody could fully explain, and often a Zapier automation duplicating something a native integration already does. Step 2: Trace real records end to end

Now verify the map against reality. Assumptions are where audits fail; you have to follow actual data.

Pick a handful of recent, real events and trace each one all the way through:

  1. Take 20 of your most recent orders. Open your email tool and confirm all 20 are there, attached to the right contact, with the correct total, the right line items, and product details populated. Missing orders or blank fields tell you the order sync is dropping data.
  2. Take 10 new contacts from the last week. Did they land in the right list, with consent status and source recorded correctly? Wrong or missing consent is both a deliverability and a legal problem.
  3. Trigger one of each key event yourself. Place a test order, abandon a test cart, view a product without buying. Watch each event arrive. Time how long it takes.

Trace, don’t trust. A dashboard that says “connected” is telling you the pipe is attached, not that water’s flowing through it.

Step 3: Check the data quality, not merely the connection

A live connection can still deliver garbage. Once you’ve confirmed data arrives, check whether it’s usable.

  • Completeness. What percentage of contacts have a first name? A last-order date? If personalization tokens are half-empty, your “Hi [name]” emails are going out as “Hi ,”.
  • Freshness. Is the product catalog in your email tool current, or does it still list items you discontinued in spring? Stale catalogs are why recommendation blocks show sold-out products.
  • Consistency. Do the same fields mean the same thing across tools? One system’s “customer since” being another’s “first email captured” quietly corrupts segments.
  • Format. Emails stored with stray capitalization or spaces break matching and create duplicates. Phone numbers without country codes break SMS.

Step 4: Find what you’re paying for and not using

Audits usually save money, not just fix bugs. As you go through the map, flag:

  • Connectors and apps still subscribed but no longer feeding anything useful.
  • Zapier automations doing work a native integration now handles for free.
  • Duplicate flows — two tools syncing the same event, doubling your task usage and your duplicate-contact risk.

A quick illustrative sketch of the math: if a redundant Zap runs three tasks per order on 1,000 orders a month, that’s 3,000 tasks doing nothing a native sync isn’t already doing. Step 5: Fix in priority order

You’ll finish the audit with a list. Don’t try to fix everything at once. Rank by revenue impact:

  1. Broken flows feeding revenue automations first — a dead cart-recovery sync costs you money every day it’s down.
  2. Data-quality issues that corrupt segmentation — because bad segments waste every send built on them.
  3. Duplicates and redundant connectors — cost and hygiene.
  4. Nice-to-haves — the extra field that would be handy but nothing depends on.

Fix the top of the list, re-test that specific flow the way you did in Step 2, and move down.

How often, and how to make it stick

A full audit twice a year suits most growing stores, plus a quick one after any big change: a platform migration, a theme rebuild, a new app, a major plugin update. Those are the moments integrations break.

The lightweight habit that catches most rot early: once a month, run the 20-orders check from Step 2. Five minutes. It’s the single highest-return maintenance task in this whole guide, because it catches a broken order sync within weeks instead of after a quarter of degraded flows.

How to measure the audit worked

  • Data completeness rate before and after — the share of recent orders and contacts arriving complete. This should climb toward 100%.
  • Event latency on your key flows — back to seconds/minutes, not stuck.
  • Duplicate contact count — trending down after you consolidate redundant flows.
  • Email-attributed revenue — often recovers once flows fire on complete data again.
