  • Kupec A: pet naročil v preteklih sedmih mesecih, zadnje pred tremi tedni.

1. korak: poiščite naravni nakupni cikel svoje trgovine

3. korak: opredelite predale

Praktičen privzeti nabor, vse šteto znotraj okna:

  • Enkratni kupci — 1 naročilo. Običajno vaš največji predal; težavo od prvega do drugega naročila, ki jo predstavlja, pokriva segmentiranje prvih in ponovnih kupcev.
  • Občasni — 2 naročili. Vrnili so se enkrat. Krhko, obetavno.

4. korak: naredite jih dinamične in medsebojno izključujoče

Mehanika omogoča dve vrsti avtomatizacije — prehodne tokove in pravila ritma.

Prehodni tokovi.

Pravila ritma.

Ta številka hkrati nastavi vaše okno, vaše predale in vaše časovno usklajevanje ponovnih naročil — dvajset minut dela s preglednico, ki olajša vsako nadaljnjo odločitev. Nato zgradite štiri predale in mesec dni opazujte porazdelitev, preden karkoli drugega spremenite.

How to Segment Customers by Purchase Frequency

Segment by purchase frequency using two settings together: order count and a rolling time window. A solid default is four buckets — one order, two orders, three to four orders, five or more — counted over the last 12 months, not over all time. The window is the part stores get wrong: “number of orders” conditions in most email platforms count every order the customer has ever placed unless you say otherwise, so a customer with five orders back in 2021 and silence since would land in your “frequent buyer” bucket looking like a loyal regular. This article covers the mechanics — how to pick the window, define the buckets, and keep them updating themselves. What to do with each bucket to drive retention is its own topic, covered in how to use purchase frequency to improve retention.

The problem: one audience, four very different buying rhythms

Inside any customer file over a few thousand contacts, there’s a customer who ordered once in March, one who buys every six weeks like clockwork, one who placed two orders and stalled, and one who’s ordered eleven times. Your campaign calendar sends all four the same emails at the same cadence.

The mismatch runs both directions. Your every-six-weeks regular could comfortably hear from you weekly and would act on a well-timed reorder nudge; instead she gets the same two monthly campaigns as everyone else. Meanwhile the one-order customer gets those same campaigns indefinitely, engagement drops, and your sender reputation pays for mail nobody asked to keep receiving. Frequency is the single clearest signal of how much attention a customer can absorb, and most stores never read it.

Why a loyalty program isn’t the first move

The reflex answer to frequency variance is a points program: let the system sort the frequent from the infrequent. Programs have their place, but they’re a heavy fix that skips the diagnosis. You’ll spend weeks configuring tiers before you can answer a basic question — how many of your customers actually buy more than twice a year? Build the frequency segments first. They cost an afternoon, they’ll tell you whether a loyalty program has enough regulars to reward, and every flow you build on them keeps working whether or not a program ever launches.

Where the mechanics go wrong: count without a window

Two customers, both showing “5 orders” in your platform:

  • Customer A: five orders in the past seven months, most recent three weeks ago.
  • Customer B: five orders between January and August 2021, nothing since.

An all-time count files both under frequent buyers. Then your best-customer campaign goes out, A redeems her early access, and B’s address — three years cold — bounces or lands in spam, dragging deliverability down for everyone. Frequency only means something inside a window. Recency is a related but separate axis, and it deserves its own segment: time since last purchase. Use both; don’t make one impersonate the other.

Building the frequency segments, step by step

Step 1: find your store’s natural buying cycle

Before picking a window, look at the median time between orders for customers with 2+ orders. A coffee or pet food store might see 30–45 days; a furniture store might see over a year. Your buckets have to respect that rhythm — “frequent” for supplements means something entirely different than “frequent” for sofas. No platform default knows this about you; the order export does.

Step 2: pick the window

Twelve rolling months works for most stores as a starting point — long enough to catch seasonal buyers, short enough to exclude the long-lapsed. Fast-cycle consumables can tighten to six months. Whatever you choose, make it rolling, not calendar-year, so January doesn’t wipe your segments clean.

Step 3: define the buckets

A practical default set, all counted within the window:

  • One-time buyers — 1 order. Usually your biggest bucket; the first-order-to-second-order problem it represents is covered in segmenting first-time and repeat buyers.
  • Occasional — 2 orders. They came back once. Fragile, promising.
  • Regular — 3–4 orders. A habit is forming.
  • Frequent — 5+ orders. Your rhythm customers.

Adjust the numbers to your cycle from step 1. A furniture store might collapse this to just three buckets, because “5+ sofas in 12 months” describes almost nobody.

Resist the urge to slice further — six frequency tiers crossed with three recency bands produces eighteen micro-segments and no time to message any of them differently. If your segment list is already sprawling, how to avoid creating too many customer segments is the antidote.

Step 4: make them dynamic and mutually exclusive

Each bucket is a live segment with two conditions: order count in range, orders placed within the window. Customers migrate automatically — order number three moves someone from occasional to regular the day it happens, and a regular whose orders age out of the window slides back down. That downward slide is information, not a bug: it’s your earliest, cheapest churn signal, and it arrives months before a win-back trigger would fire.

What to automate on top of the buckets

The mechanics enable two kinds of automation — transition flows and cadence rules.

Transition flows. Trigger: contact enters a bucket. The most useful one is entry into “regular” (order three within the window): delay a few days, email channel, content that acknowledges the pattern — early access, a heads-up on restocks in their categories — with the goal of cementing the habit. A second worth having: exit from “frequent” downward, which should notify you or feed a re-engagement flow before the customer is fully cold.

Cadence rules. Use the buckets as campaign audiences with different send frequencies: frequent buyers can receive most of what you send; one-timers get your best two campaigns a month at most. This is a settings change, not a flow, and it’s often the fastest deliverability improvement available.

The strategy layer — which offers, which incentives, how hard to push each bucket toward the next — belongs to the retention side and is deliberately out of scope here.

A coffee store example (illustrative)

A store selling €18 coffee bags, 5,000 customers. After building the buckets over a 12-month window: 3,100 one-time, 900 occasional, 600 regular, 400 frequent. Two things jump out immediately. First, the 400 frequent buyers — 8% of the file — turn out to drive a disproportionate share of orders, so the owner stops sending them the same discount campaigns (they were buying at full price anyway). Second, 900 people bought twice and stalled, a group nobody had ever addressed directly; they get their own reorder-timed flow. Neither insight was visible while the file was one audience. Numbers illustrative — your distribution will differ, which is exactly why you build the buckets.

How to measure the segmentation itself

  • Bucket distribution over time. The whole game is migration: the one-time share shrinking, occasional-to-regular promotions rising. Snapshot it monthly.
  • Revenue per recipient by bucket. Confirms the buckets describe real behavioral differences; if regular and frequent perform identically, merge them.
  • Downward transitions per month. Your churn early-warning gauge.
  • Unsubscribe rate by bucket. If one-timers unsubscribe fastest, your cadence rules aren’t differentiated enough yet.

Setting it up in Omnisend

Frequency buckets need order-count conditions with date ranges, live re-evaluation, and segment-entry/exit triggers for the transition flows. Omnisend does all three — it’s the platform I run in my own stores, chosen over Klaviyo mostly on price and how quickly I could build exactly this kind of windowed segment without support tickets. The order data syncs from the store automatically, so the buckets maintain themselves once defined.

One honest note: no platform will find your natural buying cycle for you. Step 1 happens in a spreadsheet with your own order export, and skipping it is how stores end up with buckets that look tidy and mean nothing. Omnisend is an affiliate partner of Shopimation; I recommend what I use.

If you later want frequency combined formally with recency and spend in one model, that’s RFM segmentation — worth exploring once these simpler buckets have proven themselves.

Your next step

Export your orders and calculate one number: median days between orders for repeat customers. That number sets your window, your buckets, and your reorder timing all at once — twenty minutes of spreadsheet work that makes every downstream decision easier. Then build the four buckets and watch the distribution for a month before changing anything else.
